The clinic had a steady flow of attention on Instagram but no reliable way to turn it into booked consultations. People liked the posts, sent the occasional message, and then went quiet. Enquiries arrived at odd hours, follow-up was manual, and there was no system pulling interested viewers toward an actual appointment. The audience was there; the path from interest to booking was missing.
I built a Meta lead-form campaign that captured details inside the platform, so prospects never had to leave Instagram or wait on a landing page to load. From there, each lead dropped straight into a booking chatbot that qualified them, answered the common questions about treatments, and walked them through to a confirmed consultation slot. On top of the build, I ran regular marketing strategy calls with the owner to refine the offer, the targeting, and the messaging as we saw what real prospects responded to.
The combination did what scattered posting never could: it gave the clinic one clean route from Instagram attention to a seat on the calendar. Instead of chasing DMs and losing leads to slow replies, the chatbot handled intake around the clock and consultations started filling in. The calendar stopped depending on whoever happened to be free to answer messages.
This case shows the value of treating ads, capture, and follow-up as one connected system rather than separate tasks. A lead form is only as good as what happens next, and a chatbot is only as good as the traffic feeding it. Wiring them together, then tuning the whole thing through strategy calls, is what turned passive interest into booked appointments.
